Build and Launch Your Church Notion System in 12 Weeks
A smallâgroup, doneâwithâyou cohort to get your Church Notion System live and in use for your Sunday media roles by April
Cohort runs Jan 12 â early April 2026, limited to 20 churches.
The Sunday Problem Youâre Feeling (But Havenât Fixed Yet)
Your church media systems live in someoneâs head.
Usually, itâs the one person whoâs been around forever. Everyone else asks them the same questions every Sunday:
- âWhereâs the PowerPoint?â
- âHow do I set up this camera?â
- âWhatâs the WiFi password again?â
If theyâre gone, everyone panics.
You might have a few Google Docs and checklists, but nothing that works as a real system. Everyone agrees you should document everything⌠it just never gets finished. Itâs an âimportant but never urgentâ project.
Â
What Weâll Build Together in 12 Weeks
In 12 weeks, your church will have a fully implemented Church Notion System live and in use for your Sunday media roles:
- Core media roles documented with real SOPs
- Short tutorials embedded where volunteers actually need them
- A customized Notion hub built for your church
- QR codes/links so your team can use it every Sunday
Not living in someoneâs brain. Not stuck as a halfâsetâup template.
Â
Is This Cohort Right for Your Church?
This is for you if:
- You already run basic media (ProPresenter, livestream, audio, etc.)
- You have at least one staff member or key volunteer who can commit 2â4 hours per week for 12 weeks
- You want a clear, simple system more than you want more gear
This is not for you if:
- You donât have a media team or Sunday production yet
- You want 1:1 consulting or doneâforâyou travel work
- You arenât willing to document how you do things now
Â
WeekâbyâWeek: How Your System Comes Together
Hereâs exactly what weâll finish together each week:
Week 1 â Vision, Assessment & Setup
Audit your current Sunday chaos, define what a âwinâ looks like, set up your Notion workspace, and duplicate the CNS template.
Week 2 â Map Your Media Roles & Responsibilities
List every Sunday media role and choose the 4â6 core roles weâll focus on in the cohort.
Week 3 â Build SOP Skeletons for Each Core Role
Create simple threeâphase outlines (PreâService, During, Shutdown) for each role.
Week 4 â Turn Skeletons Into DualâLevel SOPs
Convert outlines into dualâlevel SOPs: quick task checklists + detailed walkthroughs a brandânew volunteer can follow.
Week 5 â Test & Refine Your SOPs
Pressureâtest your SOPs against a real service, clean up unclear steps, and lock in v1 of your SOP library.
Week 6 â Plan Your Core Tutorials
Decide which SOP steps need short videos and outline your 2â5 minute tutorials.
Week 7 â Film, Edit & Embed Tutorials
Batchârecord tutorials with the gear you already have and embed them into the right SOPs and role pages.
Week 8 â Customize the CNS Template to Your Church
Rename roles, pages, and checklists to match your language, service flow, and gear; set up your dashboards.
Week 9 â Build Out Your Knowledge Database
Create a roleâbased knowledge hub with deeper training: YouTube, PDFs, and your own longâform content.
Week 10 â Keep It Updated With a Change Log
Build a simple change log and decide how updates get made and communicated so your system never goes stale.
Week 11 â Roll It Out to Your Team
Put CNS in volunteersâ hands with QR codes, Planning Center links, and mobile homeâscreen icons.
Week 12 â Polish & Plan Your Next 90 Days
Tighten anything confusing, and create a plan to keep the system running in the future

Why This System Is Real (And Why Iâm Building v3 With You)
In 2021 I shared the first version of our churchâs media Notion template on YouTube.
Since then, thousands of churches have downloaded versions 1 and 2 of that template to start organizing their media teams.
At my church, we used that Notion hub heavily for checklists and training. It helped a ton⌠and then we hit the same problem most churches do.
I was the one who âownedâ the system. And maybe you're like me.. Iâm not fullâtime at my church.
So when things got busy, the urgent stuff won:
- We changed gear and workflows
- I updated some pages and never got to others
- Parts of the system drifted out of date
So Iâm not going to pretend weâve run a perfect system every week for four years.
What I can say is:
- Iâve seen firsthand what parts of the Notion setup volunteers actually use on Sundays
- Iâve felt how quickly a good system drifts when one busy person is trying to keep it alive on their own
- I know this isnât just a âbetter templateâ problem â itâs a habit problem
Thatâs why v3 is different. In the CNS Accelerator, weâre:
- Rebuilding v3 for our own church
- Walking you through building your Church Notion System alongside us over 12 weeks
- And using those 12 weeks to help you build a simple weekly rhythm of checking, updating, and improving CNS so it doesnât get forgotten the moment things get busy again
Youâre not getting theory. Youâre getting a real system, built in real time, with someone whoâs lived the exact âthis drifted because I got busyâ story youâre trying to avoid repeating.

Future cohorts and the standalone CNS course will be $797+, but founding members lock in this lower rate.
How the CNS Completion Guarantee Protects You
If you show up and complete the weekly assignments and you donât have a functioning Church Notion System live and in use for your Sunday media roles by the end of the 12 weeks, Iâll keep working with you for free until you do.
To qualify, you just need to:
- Attend at least 9 of the 12 live calls or watch the replays within 7 days
- Complete and submit the weekly homework (SOPs, Notion pages, etc.)
- Have your CNS template installed in your Notion workspace
If you do your part, Iâll stay with you until your system is built and in use.

Common Questions
âCanât we just do this ourselves?â
Yes. You absolutely could. The problem isnât knowing what to do; itâs actually finishing it while youâre juggling Sundays and volunteers. The cohort gives you a 12âweek plan, live help, accountability, and a deadline so it finally gets done.
Â
âWeâre a small church. Is this overkill?â
Small churches feel absence the most. If one key person is gone, everything breaks. CNS is built so even small teams have clear roles, SOPs, and tutorials volunteers can follow.
Â
âDo we have to be âNotion peopleâ?â
No. Iâll walk you through the basics. Notion is just the tool we use to build your hub. Your volunteers donât need to âlearn Notionâ â theyâll just click links and scan QR codes to get the checklists and tutorials they need.
Â
âWhat if we canât make every live call?â
All calls are recorded and added to your CNS Accelerator course area. As long as you watch replays and complete the homework, youâll stay on track and youâre covered for the guarantee.
